What Apartment Residents Committees Looks Like Now

Apartment residents committees in Israel are responsible for a variety
of building-level tasks: tracking payments, coordinating repairs and
maintenance, organizing events, communicating with residents, and
handling administrative administration. Until now, many committees
managed these tasks using paper-based logs, WhatsApp groups,
spreadsheets, or fragmented tools. This often led to miscommunication,
delays, lack of transparency, and resident frustration.

The aim of Flow was to create an integrated digital system that would simplify
administrative workflows for committee members, provide tools for residents,
and reduce friction in building-level communication and decision-making.

The Flow System Existed, But Users Avoided its Unintuitive Interface

The original Flow platform already existed but failed to fully meet the needs of
residents’ committees. Users described it as unintuitive, limited in features, and
not user-friendly for residents. The challenge was not to invent something entirely
new, but to reimagine and redesign the existing system into a product that is
transparent, inclusive, and most importantly efficient.

Understanding Old vs. New Needs

The existing Flow platform was already in use, but it struggled to deliver real
value for residents and committees. Users described the interface as confusing,
with missing features. Many residents avoided the system altogether, relying
instead on WhatsApp groups or offline communication, which created inefficiency.

Flow needed to be redesigned to truly meet the needs of both committees and residents.

Gathering Insights from Committees and Residents

To understand the real pain points, we interviewed both building
committees and residents. Their feedback highlighted what they
truly needed to make community management easier.

Building Information

Creating an organized space where all payments, resident details and building info is managed.

Dashboard Board
Brings all data into one place and allows the committee to manage apartments and streamline daily tasks without switching between multiple tools.

Payment Tracking

Replacing spreadsheets, WhatsApp messages and manual notes and payments.

Expense Management
Recording costs, track payments and review financial activity in an organized way. This helps reduce manual follow ups.

Insights and Reports

Presenting financial activity helps the committee understand building performance.

Candidate Board
Monthly balance and a detailed list of all payments, organizes income data clearly and export options which allows sharing when needed.

Extending the Experience to Web and Mobile

As part of the redesign, added two complementary products.

Mobile App
The app focuses on quick actions residents and committee members
perform on the go. managing tasks can all be done directly from the phone,
in a fast and intuitive workflow and works seamlessly with the system.

Website
The website provides a broader view of the system with structured explanations,
guidance and detailed information about Flow. It helps users understand the system,
learn how features work and get clarity before they begin using the platform.

What I Learned Throughout the Project

Working on Flow taught me how to simplify complex management processes into clear, usable
interfaces. I learned how small interaction decisions can create meaningful improvements.


Collaborating with developers strengthened my ability to prepare clean handoffs,
define edge cases and align design decisions with technical constraints.
The process improved the way I communicate requirements, anticipate
development needs and create designs that translate smoothly into production.
